Description:
**Sessional Full Time from Approximately August 19 - March 31 Annually**
RESPONSIBILITIES
- Ensure courteous and professional staff are in place at all Wesmen games and events to perform assigned tasks effectively and contribute to a positive public image for the University, Athletics.
- Under the direction of the Associate Director, takes a lead in hiring, training, scheduling, supervising, and coordinating work assignments for all Wesmen Events Assistants and Senior Events Assistants (approximately 30-40 casual employees) for Wesmen games.
- Develop and maintains active employee files for Wesmen Events Assistants and Senior Events Assistants, including current contact information, availability, etc. and ensure all Wesmen Events Assistants and Senior Events Assistant have completed required mandatory training
- Prepare payroll forms and employment paperwork for events personnel.
- Represent athletics in facility booking and financial and event planning (and when required, event debriefing) for all events held in the Duckworth Centre. This may involve representing the Department of Athletics on broader University event planning committees or in individual or small group meetings with internal and/or external clients – e.g., Convocation, Career Fair, etc.
- Responsible for tracking and reporting event revenues for Athletics, examples of this will be Wesmen ticketing and the courtside club
- Provide support to the Athletic Director, Associate Athletic Director, Media and Operations Coordinator for the organization, setup and operation of various events (e.g., press conferences, receptions, etc.)
- Assist the Associate Athletic Director with the planning and implementation of athletic and non-athletic events, including monitoring and/or creating fundraising opportunities for Manitoba high schools and elementary schools at Wesmen events.
- Liaise with recreation services in regard to cleaning services contractor for cleanliness issues throughout all of the athletic facilities.
- Work with Tech Support (both internal and external) when issues or concerns arise with respect to computerized equipment and systems within the Department.
- Work with Security Services to address issues and concerns related to security in the athletic facilities, including but not limited to, Salto access.
- Coordinate with Recreation Services and Physical Plant regarding maintenance and repair issues, including some equipment repairs in the Duckworth Centre.
- Ensure POS is up to date, editing and redesigning item listings, account codes, etc.
- Assist in the preparation of budgets, budget forecasts that may impact events and event planning related to Wesmen Athletics
- Provide regular reports of revenues and expenditures as needed to supervisors
- Process, organize and maintain records and files for financial/accounting transactions, including payment vouchers, invoices, internal transfers, cash receipts, etc.
QUALIFICATIONS
- Undergraduate degree preferred.
- Four years of directly related work experience, including at least one year of experience planning, facilitating and operating events, preferably in a University athletic environment.
- Experience supervising staff at events preferred.
- Experience dealing with the public is required.
- Some experience with accounting is desired.
- Working knowledge of MS Office software is required.
- Working knowledge of Point of Sale (POS) systems is required.
- Strong communication skills, both verbal and written, are required.
- Familiarity with a University work environment is preferred.
- Ability to plan, organize and coordinate work activities under minimal supervision.
- Ability to exercise sound judgement and make independent decisions.
- Must be available to work evenings and weekends from September until mid-March as required for events.
