Athletics Events Associate, Athletics *Sessional*
*This is a sessional position running from approximately late August – late April*
The Department of Athletics provides a variety of services and facilities for students, staff, alumni and the public. In addition to Intramural and Wesmen team sports, a variety of athletic facilities provides outlets for University and community based athletic and recreational programs. Athletics is seeking a sessional full-time Athletics Events Associate to assist with planning and coordinating athletic and non-athletic events.
Please note, a sessional position is a continuing position which is subject to seasonal lay-off.
Responsibilities:
- Responsible for tracking and reporting event revenues for Athletics.
- Represents Athletics as one of the first points of contact; greets current and potential students, parents, visitors, outside groups, faculty and staff to the department; addresses inquiries in person, by phone and by e-mail.
- Provides a warm, welcoming approach to the student experience.
- Provides support for the organization, setup and operation of various events.
- Assists with the planning and implementation of athletic and non-athletic events, including monitoring and/or creating fundraising opportunities for Manitoba high schools and elementary schools at Wesmen events.
- Responsible for liaising with recreation services in regard to cleaning services contractor for cleanliness issues throughout all of the athletic facilities.
- Works with Tech Support (both internal and external) when issues or concerns arise with computerized equipment and systems.
- Works with Security Services to address issues and concerns related to security in the athletic facilities.
- Coordinates with Recreation Services to liaise with Facilities regarding maintenance and repair issues, including some equipment repairs in the Duckworth Centre.
- Ensures POS is up to date, adding new items, removing old items, editing and redesigning item listings, account codes, etc.
- Tracks sales and monitors online activity.
- Generates reports as requested for specific sales.
- Maintains records for sales tracking for Athletic events
- Processes and tracks debit and credit card transactions for Athletic Processes online credit card payments through the POS system.
- Provides regular reports of revenues and expenditures associated with specific activities and events.
- Organizes and maintains records and files for financial/accounting transactions.
- Orders all supplies for events and does inventory of supplies
- Assists in the ordering of marketing swag.
- Maintains and inventories storage rooms
- Helps with summer camps under the coaches and the Athletics Event Coordinator/ Interuniversity Sport Support & Travel.
Qualifications:
- High school completion.
- Undergraduate degree in Kinesiology preferred.
- Four years of directly related work experience, including at least one year of experience planning, facilitating and operating events, preferably in a University athletic environment.
- Experience supervising staff at events preferred.
- Experience dealing with the public is required.
- Some experience with accounting is desired.
- Working knowledge of MS Office software is required.
- Working knowledge of Point of Sale (POS) systems is required.
- Strong communication skills, both verbal and written, are required.
- Familiarity with a University work environment is preferred.
- Ability to plan, organize and coordinate work activities under minimal supervision.
- Ability to exercise sound judgement and make independent decisions.
- Must exhibit a calm and caring approach in dealing with students, parents, faculty, staff and the public.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
Condition(s) of Employment:
- Must be legally entitled to work in Canada.
- Available to work evenings and weekends as required for events.
The salary range for this position will be from $22.13 - $30.52 per hour.
